Security is an integral component of the development, operation, and continuous improvement of the services provided by Paychex Europe (“Paychex”). Paychex applies a structured, risk-based approach to protecting systems, data, and operations.
Security by Design and by Default
Paychex takes information security and data protection into account from the outset when developing and designing products, systems, and processes (Security and Privacy by Design). Through established technical and organizational controls, continuous monitoring, and regular assessments, Paychex maintains a consistently high and appropriate level of security.
Structured Control Environment
Paychex’s control environment is guided by the ISO/IEC 27001 framework and mapped to the CIS Critical Security Controls (CIS18). Use of that framework and mapping to those controls support consistent governance, access control, asset protection, and ongoing monitoring.
Key Security Measures (Overview)
To protect systems and customer data, Paychex implements the following measures, among others:
Access and Identity
Paychex’s data processing systems are protected against unauthorized access through user IDs and passwords. Access is further secured through single sign-on (SSO) and multi-factor authentication (MFA).
Under a tiered access authorization process based on a role-based access control model, employees are granted access solely to the data required to perform their respective duties. Access is granted in accordance with the principle of least privilege.
Administrative privileges are assigned separately, are subject to strict controls, and are limited to authorized individuals. Administrative is exercised exclusively in accordance with defined security and approval processes.
Protection and Resilience
Paychex’s data processing systems use appropriate encryption measures to protect data in transit and at rest and to maintain the confidentiality and integrity of the data.
Regular automated backups are performed to maintain data availability in the event of technical disruptions or security incidents.
Paychex carefully selects its data center sites to minimize environmental risks, including flooding, extreme weather conditions, and seismic activity. Paychex’s data centers are located in the Frankfurt am Main region of Germany and in Denmark.
Paychex maintains established procedures for resilience, recovery, and emergency management, including defined disaster recovery processes for every data center environment used by Paychex.
Monitoring and Response
Paychex maintains established procedures for the continuous monitoring of its IT systems, including logging, alerting, and defined incident response processes, to detect security incidents at an early stage and respond to them appropriately.
Paychex regularly performs vulnerability management activities, including security assessments and penetration testing, to identify and mitigate potential risks.
A structured patch management process ensures that security-related updates are deployed in a timely manner. Paychex also uses modern endpoint protection solutions to protect endpoints against malware, unauthorized access, and other threats.
Security Governance
Paychex maintains an internal information security and compliance governance body that reports directly to the managing directors and serves as the central forum for collaboration among Compliance, IT Security, Operations, and Legal. The Governance Body facilitates enterprise-wide coordination of measures relating to information security and data protection and supports the strategic assessment of regulatory requirements. Paychex also continuously monitors relevant regulatory developments concerning IT security and digital operational resilience, including NIS2 and DORA.
